Membership Refund Policy

Open Arms Healthcare Center – Membership Program
Effective Date: July 2, 2025

At Open Arms Healthcare Center (“Open Arms”), we are committed to providing equitable, affordable access to care through our membership-based healthcare model. The following policy governs all payments and refunds associated with our membership program.

1. General Policy
    All membership fees—whether monthly, prorated, or paid in full—are non-refundable once payment has been processed.

    This applies to:

  • Initial enrollment payments

  • Recurring monthly membership charges

  • Prorated or adjusted fees

  • Payments for add-on services or upgrades

2. Non-Refundable Circumstances
    Refunds will not be issued under the following circumstances:

  • Member fails to use or access services during the billing period

  • Member voluntarily cancels after payment has been processed

  • Member is unable to use benefits due to personal scheduling conflicts or travel

  • Member is deemed ineligible due to inaccurate or incomplete information provided at registration

  • Service limitations due to unforeseen circumstances (e.g., weather closures, clinic holidays)

3. Cancellation and Billing
You may cancel your membership at any time; however, cancellation will only take effect at the end of the current billing period.

No partial-month refunds will be issued for cancellations mid-cycle.

To avoid future charges, cancellation requests must be received at least 3 business days before the next billing date (typically the 1st of each month).

4. Administrative Errors
If a payment is charged in error (e.g., duplicate charges, incorrect tier assignment), please contact our billing department within 7 days of the transaction. Verified billing errors will be corrected, and a refund or credit will be issued as appropriate.

5. Service-Based Refunds
Payments for clinical services rendered under the membership (e.g., lab testing, consultations) are non-refundable once services are delivered. If a service is prepaid and cannot be provided due to scheduling or eligibility constraints, a credit may be applied to the member’s account.

 

6. Refund Processing Time
Approved refunds will be processed within 7–10 business days to the original payment method. Processing time may vary based on your financial institution.

By enrolling in the Open Arms Membership Program, you acknowledge and agree to this Refund Policy in full. The policy is subject to change, and the most current version will always be posted on our website.
